Meeting Manager

We need a Meeting Manager to plan, develop, and execute conferences, meetings, and events for our association clients. The Meeting Manager is the lead on multiple events throughout the year, working closely with Bostrom teams and volunteer leadership to achieve each association’s meeting goals.

Responsibilities

This role is a balance of project management, committee management, and meeting planning including the following major responsibilities and requirements:

  • Project manage association events from start to finish, managing the deadlines and assigned responsibilities. Manage expectations by setting achievable timelines; communicate/negotiate exceptions to achievement of those timelines. Strong project management skills and familiarity with project management technology platforms required.
  • Lead event-related Committee or Board Meetings, including creating meeting agendas, assigning action items, and drafting minutes as needed.
  • Coordinate the logistics related to the production of assigned client event, such as dates, location, food, venue contract, audio visual requirements, travel and accommodations, registration, and other details.
  • Employ technical solutions to achieve the best results. Develop and execute digital events as needed, including webinars, virtual conferences, or hybrid events. Must be familiar with event apps and registration platforms, as well as other tech tools and systems. Must be tech savvy to quickly learn and then teach others how to use those systems.
  • Manage sponsors and exhibitors, including development of prospectus/marketing materials, recruitment/sales of sponsors and exhibitors to hit target goals, and overseeing sponsor and exhibitor fulfillment.
  • Oversee event content and speaker management, including content development, submission process and selection, speaker management.
  • Effective interpersonal skills tailored to the setting, the individuals involved, and result in the desired outcome.
  • Travel required approximately 6-10 times per year.
  • Bachelor’s Degree and at least 3-5 years of meeting management experience required. Experience in association management and CMP designation strongly preferred.
